Special Requirements and Equipment

• High speed internet connection
• Static IP address
• A computer workstation that will remain on 24/7 (we recommend this to be the server or terminal server)
• A separate web credit card merchant number for eCommerce transactions is required for WebBiz Guarantee. If you are currently a Paymentech customer, you will need a separate merchant number for eCommerce. Please contact our sales team for assistance.

Implementation

• Allow one day for a scheduled appointment. The look of your web site is separate from the actual installation of WebBiz Booking with Guarantee.
• Please allow two weeks to establish a special merchant ID number and participate in the education sessions associated with this feature.

• WebBiz Guarantee offers online booking with a gift certificate guarantee to reserve appointments.
• WebBiz links to your location’s web site. You have full control over the look of your web site - the booking module simply fits inside it.

WebBiz Guarantee

Allows a client to reserve appointments online at their leisure. You choose which services and staff members are available for online booking. Clients will have the option to reserve and cancel appointments, change their WebBiz password, or update their personal information.

WebBiz Guarantee reduces no shows! This feature empowers you to require clients to secure their online appointments with a gift card. The client will need to have an active gift card on file or purchase a new gift card to hold the appointment. The value of the gift card can be for the exact amount of the service or it can exceed the value of the service. Clients have the option to secure an appointment with more than one gift card. If a client does not show up for the appointment, you have the option to charge that gift card. The serial number of the gift card used for the guarantee will be stored as a note in the client's appointment. You have the flexibility to require new clients, existing clients, or both new and existing clients to guarantee appointments reserved online.

WebBiz Booking

Allows a client to reserve appointments online at their leisure (you choose which services and staff members are available for booking). Clients will have the option to reserve and cancel appointments, change their WebBiz password, or update their personal information.

WebBiz Gifts

Give your clients the power to purchase gift cards online. WebBiz Gifts are more than just a gift card. WebBiz Gifts also gives your clients the opportunity to invite others to visit your web site through a web community. The friends and relatives list, wish lists, and event reminders entice visitors for gifting opportunities. They can also view shopping carts and sales history if the client enabled this feature.

Frequently Asked Questions

Can my clients see the appointment book on-line?

No. The client views a preference screen and does not see the appointment book. You determine which staff and services are available for on-line booking.

Can I utilize my preset mask times?

Yes. There is an option in the configuration file to honor mask times.

Does WebBiz™ leave gaps in the book?

WebBiz maximizes productivity if preset mask times are enforced. If there are no preset appointment mask times, WebBiz will show all available appointment times leaving a chance for a gap in the book depending on each staff member’s timing. We recommend you review the appointments reserved online daily for maximum productivity.

How long does a client have to wait to receive an email confirmation?

The time between your on-line appointment confirmation and the email confirmation is merely a matter of seconds.

Do I need a scanner?

A scanner is not necessary for WebBiz Gifts and/or WebBiz Guarantee. You can manually enter the barcode just be sure that you keep in mind that the code is case and character sensitive.

Can the client use a different form of payment even if they guaranteed the appointment online?

Yes. The purchase of the gift card online is a guarantee for the salon/spa as well as the client. The client may choose to keep their gift card and use it to guarantee future appointments.

What if the client is a no-show?

As an owner, you determine your own no-show policy. You may choose to use the gift card to pay for the missed service. We recommend that you create an online no-show policy and post it on your web site.

Why do I need a separate eCommerce account?

Part of the equation for securely processing credit cards over the internet includes utilizing a Gateway (to encrypt the data) and Shopping Cart. A Gateway is required and comes at an additional cost (usually a percentage of the transaction or a per transaction fee), as does the Shopping Cart. You may go to three different vendors and pay the price for their products (Gateway, Shopping Cart, Credit Card Processing), or you can purchase our integrated solution. These costs associated with your online business may be a wash, but you will certainly save time and headaches by using our one stop shop method.

When I purchase gift certificates for my location how can I prevent them from duplicating my online gift certificates?

The digits are generated in WebBiz in a way to not conflict with your physical gift cards. You shouldn't have any problems with duplication since the WebBiz generated gift certificates are alpha numeric, and a hyphen to prevent duplication, like this BAB92FE5-62DC.
